01. 標(biāo)題
給郵件一個(gè)簡(jiǎn)單、明確、具體的標(biāo)題是非常重要的,讓對(duì)方看一眼標(biāo)題就知道這篇郵件大概要說(shuō)什么。 例如:
如果你即將畢業(yè),需要發(fā)給advisor詢問(wèn)畢業(yè)課程或者學(xué)分等等。這時(shí)候的標(biāo)題可以寫(xiě):Graduation check
02. 稱謂
寫(xiě)郵件的第一步,首先要清楚對(duì)方的稱謂,怎么稱呼收件人。
*頭銜/職位
Dear Prof.(教授)/Dr.(博士)+ 姓
(要記得greeting后面的標(biāo)點(diǎn)符號(hào)是逗號(hào), 然后空一行之后才正式開(kāi)始信的內(nèi)容。)
*跟對(duì)方郵件來(lái)往較多
Hi XX或者Hello XX(收件人的First Name)
*第一次和對(duì)方聯(lián)系,或者不熟悉
“Dear+姓” 比如Dear Mr. Green, Mrs. Green
*如果不知道對(duì)方(女性)是否已婚,用“Ms.”
*如果不知道對(duì)方姓氏或性別,使用“Dear Sir/Madam ”
問(wèn)候語(yǔ)
郵件開(kāi)頭第一句一般是簡(jiǎn)單的問(wèn)候,與對(duì)方寒暄一下,增加一些親切感。
例如:
How are you? I hope you are doing well。How is the project going?
03. 正文
最重要的是簡(jiǎn)化句子去表達(dá)意思,不要用復(fù)雜的長(zhǎng)單詞或是技術(shù)術(shù)語(yǔ)使郵件內(nèi)容累贅冗長(zhǎng)。保證句子是清楚易懂的就沒(méi)有問(wèn)題。
詢問(wèn)信息
*I am writing to inquire about…
*Could you give me some information about...?
*I would like to know ...
*I’m interested in receiving/finding out ..
提出要求
*I’d be grateful if you could ...
*I wonder if you could ...
*Do you think I could have ...?
添加附件
Please find attached the file (we discussed/you requested, etc.).
I’m sending you ... as a pdf file.
作出承諾
*I’ll investigate the matter.
*I will contact you again shortly.
提供/尋求幫助
*Would you like me to ...?
*If you wish, I would be happy to ...
*Let me know whether you would like me to ...
*It would be nice if you could provide a bit more information on ...
*I would really appreciate meeting up if you can spare the time.
04. 結(jié)尾
郵件最后一部分通常會(huì)表示感謝或解釋下一步是什么。
*Thank you for your time and consideration.
*I look forward to hearing from you.
*Please contact me if you have any question.
*I appreciate your prompt process in ...
*We are grateful for ...
*It has been a pleasure to ...
落款
【落款】的格式通常為“謙辭,換行+姓名”,例如:
Best Regards,Tong(Owen)Wang
常用的表達(dá)還有:
*Sincerely,your Sincerely
*Regards, Best Regards
*All the best/All best
*Take care
*Best wishes
Applying for a position

6. 結(jié)束語(yǔ)和結(jié)尾問(wèn)候

*I look forward to hearing from you soon.
*Yours faithfully (通常用于無(wú)具體人名抬頭Dear Sir/Madam的信件結(jié)尾)
